Meeting Notification Flow

Click on Automations

Click the 'Create Flow' button

Make sure that your trigger is the calendar booking form you built.

Tip: If you don't have a booking flow, just choose 'Meeting Scheduled' on the trigger. If it's a booking form, choose form submission.

Make sure to click 'Update Trigger' to save the changes.

From this sample, make sure you add the 'Look Up Contact' sequence to save your booker information.

We advice for you to only choose email and phone to look for and choose 'or' in condition. Leave the action as is so it will just automatically merge the contact to an old existing record if it matches any.

Tag is importance to highlight the action done by the lead.

Make sure to send an initial email as a meeting confirmation.

Time condition is very important to avoid spamming your clients with too much emails in a day. You can set a wait time like this.

You can follow the set up from here, but the fallback time will always depend on your preference. Always click save when you're done.

You can send another email follow up after your first email about the meeting confirmation.

This is another email notification format.

Aside from the booker, you should also set a meeting notification sent to the calendar owner.

As you can see here, there are a couple of email and SMS set to be sent to the clients after every time condition.

It is very important that you are mindful on your time differences too.
